Finance Associate

About the role

This role ensures the integrity and accuracy of the organization's financial operations by managing the full cycle of payment processing, transaction recording and budget monitoring. It supports financial compliance, audit readiness and administrative efficiency, working closely with Operations and Programme teams to document expenditures correctly and keep daily business running smoothly.

Key responsibilities

• Generate and process payment vouchers, receipts and journal entries, reviewing payment requests for completeness and regulatory compliance before approval.
• Maintain precise records across cashbooks, tracking logs and expenditure schedules, and reconcile and upload transactions to QuickBooks Online.
• Monitor spending against organizational and project budgets, update monitoring schedules and run monthly bank reconciliations, investigating discrepancies promptly.
• Manage documentation for staff advances, reimbursements, account closures and supplier invoices, and help build monthly, quarterly and project-specific financial reports.
• Facilitate procurement in line with HBBA policies: sourcing quotations, issuing purchase orders, verifying deliveries and matching invoices before payment.
• Oversee the vendor database, procurement archives, contract files and the fixed asset register; administer office supply inventory and handle travel coordination and facility upkeep.
• Ensure expenditures are allocated to the right budget lines and projects, and organize financial, procurement and administrative files for audits, donor reporting and reviews.
• Escalate discrepancies and irregularities to the supervising manager, uphold confidentiality and follow the approval hierarchy.
