Administrative Manager

About the role

Future Tastes Africa, a flavour company developing and manufacturing flavour systems for the African beverage industry, is looking for an Administrative Manager. The role carries full responsibility and accountability for all facilities and administrative services, and provides functional support that drives employee workspace effectiveness and efficiency.

Key responsibilities

• Fleet and transport: oversee fleet operations, route planning, preventive maintenance, statutory documentation and cost tracking; manage relationships with external mechanics and service providers.
• Facilities and workplace: maintain buildings, offices, warehouses and grounds, conduct site inspections, manage assets and lead facility improvement projects.
• Non-core staff support: supervise workplace staff and stewards and partner with HR on recruitment, onboarding, deployment and performance monitoring.
• Expatriate accommodation: source housing, manage leases and service contracts, coordinate moves and control accommodation spending.
• Kitchen and canteen: run daily canteen operations, enforce hygiene and food safety, manage kitchen inventory and the monthly kitchen budget, and oversee third-party catering providers.
• Budget and administration: prepare and monitor budget trackers, analyse spend against budgets, keep fuel, repair and insurance records, and generate management reports.
• Vendor and contract management: manage vendors across facilities, fleet, catering, cleaning and security, ensure contractors meet SLAs and KPIs, and maintain a central vendor register.
• Compliance and risk: ensure operations comply with policies and regulations, keep audit-ready documentation and continuously improve processes.
• Travel and logistics: coordinate logistics and travel arrangements for departments.

Required profile

• Minimum B.Sc. in Management Sciences or a related discipline.
• Minimum 3-5 years' experience in facility and project management, budgeting and planning.
• Knowledge of environmental matters, system software packages and service evaluation.
