About the role

The Front Desk Executive will be the first point of contact for guests, clients, vendors and employees, ensuring a welcoming and efficient experience. This role combines reception duties with administrative support across HR, Finance and other departments, contributing to smooth office operations.

Key responsibilities

  • Welcome guests, clients, vendors and employees and provide directions and information as required.
  • Answer, screen and forward incoming phone calls, take messages and respond to general email or in‑person inquiries.
  • Monitor permanent and outsourced staff attendance registers.
  • Handle data entry tasks such as documenting scanned payment vouchers.
  • Monitor and timely restock office supplies.
  • Maintain accurate files and updated records of office equipment and inventory.
  • Ensure front desk, waiting areas and office atmosphere are clean, organized and presentable.
  • Monitor the visitor register, issue visitor tags and enforce security procedures.
  • Receive, sort and distribute incoming mail and packages to the appropriate persons or units.
  • Assist with organizing travel arrangements and logistics, including flight bookings, hotel reservations and transport.
  • Support immigration duties such as e‑CERPAC, visa processing and expatriate quota returns.
  • Provide administrative support to Human Resources, Finance and other teams as required.

Required profile

  • HND or Bachelor’s degree in Business Administration, Public Administration, Office Technology and Management or a related field.
  • Minimum of 3 years’ experience in a similar front‑desk or administrative role.
  • Prior experience as a Personal or Executive Assistant to a CEO is an advantage.
  • Membership of a professional body (e.g., ICSA N) is a plus.
  • Graphic design skills using Canva and AI tools are advantageous.

Required skills

  • Proficiency with Microsoft 365 Suite (Excel, Word, Outlook).
  • Competence in Canva for graphic design.
  • Familiarity with AI design tools.
  • Basic understanding of immigration processes and visa protocols.
  • Strong documentation and record‑keeping abilities.
