Fleet Administrator 1

About the role

The International Committee of the Red Cross (ICRC) is hiring a Fleet Administrator 1 in Abuja to assist the Vehicle Fleet Manager with fleet-related administrative tasks. The role covers reporting, archiving, record keeping, updating fleet databases and gathering statistics, and supervising registration and deregistration processes and obtaining the licences and permits needed to operate, deregister and dispose of fleet assets.

Key responsibilities

• Carry out administrative tasks for the Fleet department and notify field sites to send relevant fleet data monthly.
• Enter data into the fleet program "Fleetwave" (fuel, repairs, vehicles, stock).
• Organise and prepare monthly fleet KPI reports with the Vehicle Fleet Manager and report on private use of vehicles by expatriates to Administration/Finance.
• Review fuel usage, compile statistics and reports, and monitor vehicle monitoring systems.
• Ensure weekly hours and odometer readings are submitted from the field and follow up on departmental messages and files.
• File and distribute fleet documents, keep vehicle files up to date, and create requisition orders for workshop supplies and fuel.
• Cross-check fuel invoices and delivery notes, open accident cases in the database and collect information on accident damage.
• Assist with on-the-spot accident response and deal with authorities and insurers, and explain accident reporting procedures to car users.

Required profile

• Degree in transportation, logistics or proven relevant work history.
• 2-3 years of experience in fleet management, logistics, administration or a similar position.
• Excellent knowledge of the geographically assigned environment and good knowledge of local insurance practices, national traffic laws and vehicle registration laws.
• Valid working permit to work in Nigeria; driving licence B (manual gearbox) required, C an asset.
• Strong motivation for humanitarian work and ability to work under pressure.

Required skills

• Strong computer skills; Word and Excel are mandatory.
• Prior experience with fleet database systems is an asset.
• Good command of written and spoken English.
