About the role
The client, a High Net Worth Individual, seeks an experienced Executive Assistant to provide comprehensive administrative and personal support. This role blends strategic assistance with personal concierge duties, requiring utmost confidentiality and the ability to manage a high volume of requests.
Key responsibilities
- Maintain and optimise the executive’s calendar, screening meeting requests and coordinating with stakeholders.
- Handle inbound calls, triage inquiries, and prioritise follow‑up actions.
- Manage email inbox, process attachments, and prepare documents for review.
- Organise and maintain a document management system, ensuring quick access to files.
- Prepare and edit presentations, board meeting materials, and reports.
- Coordinate domestic and international travel, including itineraries, bookings and expense reporting.
- Process expense reports, invoices and verify compliance with company policies.
- Liaise with the executive’s direct reports to align meetings, travel and information flow.
- Purchase and manage executive hardware such as laptops, phones and printers.
Required profile
- Proven experience supporting senior executives or high‑net‑worth individuals.
- Demonstrated ability to handle confidential information with discretion.
- Strong gatekeeping skills and the capacity to make independent decisions on meeting relevance.
- Excellent communication with senior stakeholders and industry leaders.
Required skills
- Microsoft Excel for data entry and table creation.
- Microsoft PowerPoint for presentation preparation.
- Proficiency with email platforms (e.g., Outlook).
- Experience using document management systems.
- Travel booking and expense reporting tools.
