Remote Operations Specialist – Back‑Office Support

About the role

We are looking for a driven Operations Specialist to be the main conduit for our US startup clients’ back‑office functions, including HR, finance, payroll and compliance. You will work directly with founders, managing tactical tasks that often evolve into strategic initiatives.

Key responsibilities

• Coordinate with accountants to ensure taxes are filed and manage payroll processes.
• Prepare and distribute NDAs, handling any follow‑up issues.
• Research and resolve unusual back‑office edge cases, such as obscure regulator filings or silent vendors.
• Evaluate and recommend tools and vendors that fit early‑stage, bootstrapped budgets.
• Contribute to internal, client‑facing and public knowledge bases to avoid duplicated effort.
• Lead internal projects that improve SOPs, dashboards, systems and overall operational efficiency.

Required profile

• 3+ years of experience interfacing with clients or external parties, with responsibility for outcomes.
• Background in HR, payroll, finance or compliance operations is strongly preferred.
• Passion for process optimisation, automation and AI‑driven tools.
• Ability to build deep, trusting relationships with dynamic founders.
• Detail‑oriented, strong communicator and natural context‑switcher.
• Willingness to handle the “unsexy” aspects of startup operations, such as regulator interactions and employee off‑boarding.
• Commitment to a long‑term (2+ years) remote role.
