Dispensing Officer

About the role

The Dispensing Officer will ensure accurate dispensing of raw and packaging materials for pharmaceutical production, adhering to approved procedures, Good Manufacturing Practices (GMP) and safety standards. The role supports efficient manufacturing by maintaining proper documentation, inventory control and coordination with Quality Assurance.

Key responsibilities

• Dispense raw and packaging materials according to Batch Manufacturing Records (BMR) and requisitions.
• Verify material identity, batch number, status label and expiry date before issue.
• Weigh and measure materials using calibrated equipment and record results.
• Maintain cleanliness and appropriate environmental conditions in the dispensing area.
• Document dispensing activities in logbooks and ERP systems (Darwinbox, SAP).
• Apply FIFO/FEFO principles during material issuance.
• Coordinate with QA for line clearance and obtain approval prior to dispensing.
• Label dispensed materials correctly and transfer them to production.
• Report discrepancies, deviations or damaged materials to the supervisor immediately.
• Participate in stock counts, audits and inventory reconciliation.
• Ensure continuous compliance with GMP, safety and regulatory requirements.

Required profile

• OND/HND/B.Sc. in Pharmacy, Chemistry, Biochemistry, Microbiology or a related field.
• 5–10 years of experience in pharmaceutical manufacturing, preferably in warehouse or dispensing operations.
• Strong knowledge of GMP, material handling and inventory control practices.

Required skills

• Proficiency with ERP systems such as Darwinbox or SAP.
• Use of calibrated weighing and measuring equipment.
• Application of FIFO/FEFO inventory principles.
