About the role
The Administrative Assistant will provide comprehensive support to the UNICEF Nigeria section, ensuring smooth day‑to‑day operations across finance, human resources, procurement, communications and logistics. This role is essential for maintaining compliance with UNICEF policies and facilitating effective project implementation.
Key responsibilities
- Monitor section budgets and financial expenditures, prepare revisions and maintain documentation.
- Draft vacancy announcements, screen applications, coordinate interviews and maintain recruitment files.
- Support project planning by gathering data, performing comparative analysis and tracking milestones.
- Guide managers through procurement processes, maintain vendor and consultant rosters.
- Manage incoming and outgoing correspondence, maintain filing systems (digital and physical) and support communications flow.
- Maintain office calendar, arrange meetings, take minutes and prepare agendas.
- Provide logistical support for events, conferences and capacity‑building activities.
- Assist staff with travel arrangements, budget preparation and travel‑cost tracking.
- Collect and process invoices in the VISION system and manage office supplies and equipment.
- Monitor staff attendance and update absence records.
Required profile
- Completion of secondary education; technical or university courses related to administration are preferred.
- Minimum of 5 years of relevant administrative experience, preferably in an international or humanitarian setting.
