Front Desk Officer

About the role

We are looking for a Front Desk Officer to be the first point of contact for patients at Synergy Aesthetic Ltd in Lagos. The role combines customer service, basic medical administration and coordination between clinical and support teams.

Key responsibilities

• Greet patients and visitors, answer phone calls, emails and in‑person inquiries.
• Register patients, collect biodata, insurance details and verify identity.
• Manage appointment scheduling, confirmations, rescheduling and walk‑in triage.
• Explain consultation, lab and admission fees; process cash, POS, bank transfers and insurance payments.
• Generate receipts, invoices and assist with insurance pre‑authorisation and claims.
• Maintain waiting area order, enforce visiting hours and infection‑control policies.
• Handle correspondence, courier deliveries and provide basic IT support.
• Liaise with doctors, nurses, lab, pharmacy and billing to coordinate patient flow.
• Update and file medical records in compliance with HIPAA/NDPR confidentiality rules.
• Prepare daily reports on patient count, revenue and no‑shows; keep front‑desk inventory stocked.

Required profile

• Minimum 12 months experience in a front‑desk or customer‑service role, preferably in a healthcare setting.
• Strong empathy and ability to remain calm with anxious patients.
• Excellent organisational and multitasking abilities.
• High level of discretion and confidentiality.

Required skills

• Proficiency with HMIS/EHR systems.
• Basic knowledge of medical billing, HMO and insurance processes.
• Computer literacy for email, scheduling software and POS terminals.
