Front Office & Client Experience Officer

About the role

The Front Office & Client Experience Officer will be the first point of contact for clients at Flawless Aesthetic Center, ensuring a warm, professional reception and seamless client journey. You will manage front‑office operations, coordinate appointments, and support the delivery of high‑quality concierge services.

Key responsibilities

• Welcome clients and visitors, manage check‑in/check‑out procedures, and maintain a tidy reception area.
• Handle incoming calls, WhatsApp messages, emails and online inquiries promptly and courteously.
• Maintain accurate client profiles, treatment histories and preferences in the CRM system.
• Coordinate client appointments, confirm bookings, and work with clinical teams to ensure smooth client flow.
• Respond to new client leads, follow up with prospects and existing clients, and nurture relationships through calls, messages and email.
• Educate clients on treatments, products and after‑care, and support upselling of packages and services.
• Prepare weekly and monthly reports on bookings, sales, retention and client engagement.

Required profile

• Minimum 4 years (48 months) experience in front‑office, reception or client‑experience roles.
• Excellent communication skills with a friendly, empathetic and discreet demeanor.
• Strong organisational abilities and attention to detail.
• Ability to work collaboratively with clinical and administrative teams.
• Proactive attitude to anticipate client needs and resolve issues.

Required skills

• Proficiency with CRM software for client data management.
• Experience using WhatsApp, email platforms and telephone systems for client communication.
• Basic reporting skills to compile weekly/monthly performance data.
